Instructions for submitting forms

Submit Your Required Documents Early

Many students need to provide information in addition to the FAFSA before their aid can be offered. It can take 3-4 weeks before a financial aid offer will be made once all requirements are submitted. It is important to complete your financial aid file as early as possible.

Viewing Required Documents

Students can view outstanding financial aid requirements from their MyButlerCC account by selecting the green 'Financial Aid' tile. Students with a 'Student Forms (Verify My FAFSA)' requirement have electronic forms to complete. Follow the instructions for creating an account and submitting the required forms through 'Student Forms'.

Some forms are not available in electronic format. Students will click on the form name from their requirements in MyButlercCC account and a PDF will display. Students will complete the PDF and follow the instructions below for submitting paperwork. All posted documents received in our office by 3:00 p.m. will post the same day as received. Otherwise, the posting date will be the following business day. Butler processes file completion in date order according to the last document 'receive date' that was accurately completed.

Do Not Fax Transcripts

Required transcripts must be official and mailed directly from your school to the Registrar's Office or from your State Department of Education for GEDs.

  • Mail - send to Butler Registrar - 901 South Haverhill Road - El Dorado, KS 67042
  • Electronically -  utilize a secure website like Parchment or National Student Clearinghouse.
  • Hand-carried - Butler Community College will accept hand-carried transcripts as official if they remain sealed and unopened in the envelope in which the sending institution placed them.
  • Faxed - transcripts are not official.

Graduation from an Out-of-Country High School Transcript
You will need to have your out-of-country high school transcript evaluated by one of Butler's acceptable evaluation agencies.
